The publication
The Briefing goes out every two weeks in English and Spanish to about fifty thousand subscribers: families, providers, partner organizations, and staff. It carries program deadlines, policy changes, and the kind of information that has real consequences when it arrives late or lands unclear.
Bilingual production is the part people underestimate. Translation is not the last step before sending — it is a dependency with its own lead time, its own review, and its own failure modes. Build the calendar backward from it or miss every deadline.
The procedure
I documented end-to-end production in a seventeen-page standard operating procedure covering submission deadlines, editorial standards, the translation handoff, review, and send.
Seventeen pages for a newsletter reads as overkill until you consider what the document is actually for. It is not a manual for me. It is the answer to what happens when I am out, or when I leave — whether the Briefing goes out on time, in both languages, meeting the same standard, run by someone who has never sent it before.
The SOP is the difference between a publication and a person who publishes.
